By Sam’s List · Researched October 2, 2026

Full disclosure: this guide is published by Sam’s List, one of the platforms discussed. Some professionals participate in paid Sam’s List programs for visibility or leads. This article compares published search features and limitations. Inclusion and order do not rank individual professionals or establish their quality, suitability or likely results.

QuickBooks can be the right starting filter without being the whole hiring decision. You still need someone who understands your transaction flow, communicates clearly and delivers a reliable close. This guide compares where to search; it does not rank individual bookkeepers.

Define what “caught up” means

Specify the period, accounts, integrations and required outputs. Ask how the bookkeeper will identify unresolved items and how you will approve corrections. A zero difference on one screen is not a complete handover standard.

Protect the continuity of the process

Agree who owns the subscription, who has administrator access and where working documents live. Ask how a replacement provider could pick up the work. You want an understandable process, not a set of undocumented adjustments that only one person can explain.

Test the recurring service separately

A great cleanup specialist may not offer the recurring service you need. Ask when monthly work is completed, how questions are handled and what happens when volume increases. If tax preparation is required, make its ownership explicit rather than assuming it travels with bookkeeping.

Questions to take to the first call

Questions people ask

Is ProAdvisor the same as CPA?

No. Treat software knowledge and professional licensure as separate things to verify.

Should I switch software to fit a bookkeeper?

Ask for the reason, transition cost and operational implications before deciding. The provider’s preference alone is not a complete business case.
